Short answer: SARVARC Workstyle lets you upload a document you like (the Reference) and your own content, then rebuilds the reference's layout, fonts, colours, boxes and tables around your words. You get a real, editable document in the same format, without redrawing a single box or retyping a single line. It runs in your browser, so you can start straight from your phone for faster work, with nothing to install.
If you have ever received a client's quotation format, a competitor's price list or last year's report and thought "I need exactly this look, but with my content", this guide is for you. It explains what Workstyle does, how to use it, which files it understands, and, just as important, what it does not copy yet.
What is SARVARC Workstyle?
Workstyle is a feature inside SARVARC Workspace, the browser-based suite for editing PDFs, arranging data, building forms, making charts and presenting work. You will find the Workstyle button in the Workspace Editor's top bar, right after Showcase.
The idea is simple. The reference is the template. There are no style names to pick from, no categories and no preset layouts. Whatever document you upload as the reference becomes the pattern, and your content is poured into it.
This makes Workstyle different from a template library. A template library shows you what someone else decided you might need. Workstyle starts from the document you actually need to match.
Why matching a document by hand wastes so much time
Most people solve this problem the slow way. They open the reference, create a blank page, draw a header band, guess the font, eyeball the colours, build the table row by row, paste the text and then fix everything that moved. For a one-page quotation that can easily eat an hour. For a multi-page report it eats an afternoon.
The work is not hard. It is repetitive, and repetitive work is exactly what a tool should take over. Workstyle reads the structure of the reference once and rebuilds it for you, so your time goes into the content, not the formatting.
How to use SARVARC Workstyle in four steps
- Open Workstyle. Click the Workstyle button in the Workspace Editor's top bar.
- Add your Reference. Upload the document whose look you want to copy, or use the document already open in the editor.
- Add your content. Type it, paste it, or attach one or more files in any supported format. You can drag files straight in.
- Press Build. The reference docks on the left of the screen, the real editor page appears on the right, and your document builds in front of you.
The panel is deliberately minimal: two boxes side by side, "1 Reference" and "2 Your file". Each box shows the logo of the format you uploaded (PDF, DOC, XLS, PPT, image and so on), so you always know what has been read.
The Workstyle panel: 1 Reference on the left, 2 Your file on the right, each with its format logo.
What Workstyle copies from your reference
Workstyle measures the reference from its real text boxes and drawing instructions, so the result follows the original closely.
- Layout and spacing. Positions, sizes and the gaps between parts, kept within sensible limits so the page never feels cramped.
- Fonts. If the editor does not have the exact font, Workstyle picks the closest kind from its own library: serif, mono, script, rounded, condensed, heavy display, slab or plain sans. Common system fonts map to their free equivalents, for example Helvetica to Arimo and Times to Tinos.
- Colours. Workstyle learns a palette by role: page colour, main colour, accent colour, text and muted text. You can see the colours it learned under the two upload boxes.
- Boxes and lines. Header bars, side strips, panels, rules and bordered boxes are rebuilt with their exact colours and sizes. Rounded corners, pills and circles keep their roundness, and boxes filled with a simple two-colour fade are rebuilt with the same fade.
- Table lines. Lines between rows, between columns, the outer edges and the line under the header row are read from PDF references, and from Word and Excel (.xlsx) references too. A reference table with no lines gives a table with no lines.
Colours learned: the palette Workstyle reads from the reference, shown right under the two upload boxes.
The output is not a flat picture. Every part lands as a real text box, table or image spot in the SARVARC Workspace Editor, so you can keep editing after the build.
How your words fit the reference
A copied layout is only useful if the new words fit it. This is where Workstyle goes beyond copy and paste.
For each part of the reference, Workstyle works out its role: title, heading, body, table, contact line, footer and so on. Kadessa, the assistant built into the workspace, then writes the words for each slot in the same shape as the reference sample. That means similar length, line breaks, casing, and number and price style. She never carries over the reference's facts and never invents new ones. If you want to know more about her, read Meet Kadessa.
If Kadessa cannot be reached, Workstyle does not fail. It falls back to a plain line-by-line fill using simple rules (rows to the table, email and phone lines to contact slots, a thanks line to the footer) and tells you that it did so.
Two more details keep the result tidy:
- Spacing follows your content. Parts move row by row. When your words are shorter than the sample, everything below moves up instead of leaving a hole. When they are longer, one-line parts widen inside the margins instead of wrapping awkwardly. The footer stays pinned.
- A readability guard. If a part ends up on a colour where it would be hard to read (a contrast below 2.2 to 1), Workstyle switches that text to near-black or white, whichever reads better, and tells you how many it changed.
Watch it build live
Workstyle does not hide behind a loading screen. The empty pages go in first, then each part appears in the editor one by one, with Kadessa's ring gliding to it. It takes about 0.2 seconds per part, and you can switch between Speed x1, x2 and x4, or press Skip to place everything at once.
Watching the build also makes mistakes easy to spot. If something looks off, you see exactly where.
Live build: the reference docks on the left while Kadessa places each part on the real editor page.
Use Workstyle straight from your phone
SARVARC Workspace runs in the browser, so there is nothing to install. Open it on your phone, sign in and start. That matters when a client message arrives and the document is needed now, not after you reach your desk.
Here is a typical mobile moment. A client sends their quotation format by WhatsApp or email. You open it on your phone, add it as the Reference, type or paste your items, press Build and send the finished document back in minutes. The same speed helps when you need a quick price list, a status report or a notice in a format that already exists.
The approach follows Mobile for Speed, Desktop for Precision. Use your phone to build and send fast. Switch to a laptop when you want to fine-tune the layout on a large page. It is the same account and the same workspace, so there is no export and re-upload between the two.
Any format in: what you can upload
Real work arrives in messy formats, so Workstyle accepts a wide range.
As a reference (the design you want to copy):
- Word (.docx)
- Excel and spreadsheets (.xlsx, .xlsm, .xlsb, .xls, .ods, .csv, .tsv)
- PowerPoint (.pptx)
- Scanned or picture-only PDFs and image files (png, jpg, webp)
As your content (the words and data to pour in):
- PDF, including scans, with text read by OCR from the first 6 pages
- Word, Excel, CSV and PowerPoint files
- .odt, .odp, .rtf, .html and .json files
- Pictures, read in English, Hindi and Gujarati
- Plain text files such as .txt and .md
You can attach several files at once. Files can be up to 25 MB, and text is capped at 24,000 characters per build. Old binary .doc and .ppt files are the only content formats refused, and the panel tells you what to do instead.
One honest note about scans. A scanned PDF or an image can be a reference, but sizes are measured from line height, so they come out close rather than exact. The font is always Arial and bold is guessed from size.
Long content continues on extra pages
Your content will not always match the reference's length. When it is longer than one page, Workstyle continues it on extra pages, following the same rules as Refine Report:
- Same page size and background on every page
- Logo, footer, header band and footer rule repeat
- Content restarts below the header
- A table that splits repeats its header row, and a single lone row is never left on the next page
- Text splits by paragraph, then by word, with no one-line orphan at the foot of a page
- A heading never sits alone at the bottom of a page
One reference page can grow into as many as 40 pages.
Upload spots for logos and pictures
Workstyle never copies the pictures from your reference, because those belong to someone else's design. Instead, every logo or picture spot becomes an upload spot, drawn exactly where the picture goes. It is a dashed box with an Upload button, and you can click it or drop a file onto it.
- Logos are fitted inside the spot, never stretched or cropped, and kept on the side the reference used.
- Pictures fill the spot edge to edge, cropped from the centre, so the box keeps the reference's exact shape.
- If you have saved a logo in your Brand Kit, it is placed automatically, with a small Replace logo button if you want a different one. The idea behind the Brand Kit is covered in Better Brand, Less Time.
- A logo that repeats on continuation pages is filled on all of them at once.
- An empty spot is never exported or printed.
Workstyle use cases: where you can use it
Workstyle helps anyone who regularly has to match a format that already exists. Here are practical ways to use it, grouped by who does the work. In each one, the reference is the format you must match and your content is what goes inside it.
Freelancers and independent professionals
- Quotations and invoices in a client's format. Upload the client's own quotation (PDF or Excel) as the reference, add your line items and prices, and get the same layout with your numbers.
- Proposals that follow a required format. Use the format a client or tender asks for as the reference, bring your project details as content, and skip the manual rebuild.
- Rate cards and service sheets. Take a rate card you admire as the reference and fill it with your own services and prices.
Small businesses and shops
- Price lists and menus. Use a layout you like as the reference and bring your products and prices from an Excel or CSV file. A long list continues on extra pages with the header repeated.
- Purchase orders, delivery notes and receipts. Use the format your supplier or customer already follows as the reference, then fill in today's items.
- Brochure and catalogue pages. Keep one well-designed page as the reference and produce more pages in the same look, each with new products, using the upload spots for pictures.
Consultants, analysts and agencies
- Reports in a client's house style. Use a past report from the client as the reference and pour in your new findings, so the structure matches what their team expects.
- Weekly and monthly status or MIS reports. Use last month's PDF as the reference and this month's figures as content. You get the same look with new numbers, and long tables continue across pages.
- Case studies and one-pagers. Use one finished one-pager as the reference and produce the next in minutes, with the same header, colours and spacing.
HR, admin and operations teams
- Offer letters, notices and circulars. Use the company's existing format as the reference and bring the new wording, so every letter keeps the same layout.
- Certificates and forms. Use one approved certificate as the reference and fill each new one with a different name and details.
- Meeting minutes and internal updates. Use the official template as the reference and paste your notes as content.
Students and teachers
Students are often handed a format and told to follow it exactly: the college's report layout, the department's lab sheet, the internship file. Workstyle takes the formatting work off your plate so your time goes into the content that gets marked.
- Assignments and project reports. Use the sample format from your college or course as the reference and add your own content. Headings, fonts, colours and spacing follow the sample.
- Lab reports and practical files. Use the department's format as the reference and bring your readings from an Excel or CSV file. The table is rebuilt in the same look.
- Internship and training reports. Use the format your college gave you as the reference and add your notes as content. A long report continues on extra pages with the header, footer and table headings repeated.
- Title pages, certificate pages and declarations. Use the approved page as the reference and fill in your own name, course and details.
- Class notes and study sheets. Use a neat notes layout as the reference and bring your own notes, typed or photographed. Pictures are read in English, Hindi and Gujarati, though clear printed text reads best.
- Resumes and cover letters. Use a layout you like as the reference and bring your own details.
- Presentation pages. Use a PowerPoint (.pptx) as the reference to copy its filled boxes and layout, then bring new content for your next presentation.
- For teachers: worksheets, question papers and marks sheets. Use the school's format as the reference and bring the questions or marks from a document or spreadsheet, so every paper keeps the same look.
If your college gives only a scanned sample, you can still use it as the reference. Sizes will be close rather than exact, so check the result in the editor before you submit.
In every case the steps are the same: add the reference, add your content, press Build and finish in the editor.
Use only references that you own or have permission to use. Workstyle copies layout and styling, not facts or pictures, but the sensible rule is to match your own, your client's or a format you are allowed to follow.
Workstyle, Refine Report and Showcase: which one to use
SARVARC Workspace has a few tools that touch design, and they solve different problems.
- Use Workstyle when a specific document is your target and you want your content in that exact look.
- Use Refine Report when you want your own report to come out in your brand colours with a header, footer and logo, without a reference.
- Use Showcase when you want to turn photos, charts and projects into a presentable first impression.
They work well together. Data from Data Arrangement and charts from Diagrams and Graphs can become the content that Workstyle pours into your chosen layout. Responses collected with SARVARC Forms land in the workspace too, so client details can feed the same flow.
What Workstyle does not copy yet
A tool you can trust tells you its limits. As of October 2026, Workstyle does not yet do the following:
- Copy the reference's own pictures (you get upload spots instead)
- Rebuild gradients with more than two colours or free-form curves and art
- Add brand new sections, for example a menu with more categories than the reference has
- Read table lines from CSV and old .xls files, which keep the editor's usual grid
- Match exact font sizes on scanned references
- Use old .doc, .rtf, .odt or .ppt files as a reference
There is also a daily limit of 5 Workstyle builds per person, and only a finished build counts. If you are comparing tools, factor that in.
Tips for the best results
- Choose a clean reference. A document with real text boxes (a digital PDF or Word file) is measured more accurately than a scan.
- Give Workstyle the whole content. Attach everything in one go so the words can be matched to the right slots.
- Match the shape of your content to the reference. If the reference has a five-row table, bring about five rows of data. More rows work too, because the table continues on extra pages.
- Check the build message. It tells you if the backup fill was used or if any text colours were adjusted.
- Finish in the editor. Everything is a real object, so small fixes take seconds.
After the build: review, sign, export
A finished document is only the start of the workflow. From the same workspace you can:
- Collect live comments with Send for Review before a meeting
- Get it signed without printing using SARVARC Sign
- Export it as PDF, Excel, Word or video, as explained in How SARVARC Workspace Exports Your Work
- Turn it into slides with Stop Scrolling, Start Presenting

Frequently Asked Questions
What is SARVARC Workstyle?
SARVARC Workstyle is a feature in SARVARC Workspace that rebuilds the look of a reference document, including its layout, fonts, colours, boxes and tables, with your own content. The result is a real, editable document, not a flat image.
Can I use SARVARC Workstyle on my phone?
Yes. SARVARC Workspace runs in the browser, so you can open Workstyle on your phone with nothing to install. Use your phone for fast builds and quick sends, and a laptop when you want precise layout adjustments on a bigger screen.
Can I copy the design of any PDF and use my own content?
Yes, for PDFs with readable text or scans that can be read by OCR. Workstyle measures the layout, colours, fonts, boxes and table lines and rebuilds them around your content. It does not copy the reference's pictures or facts.
Which file formats work as a reference?
PDF, Word (.docx), Excel and spreadsheet files, PowerPoint (.pptx), and also scanned PDFs and image files such as png, jpg and webp. Old .doc, .rtf, .odt and .ppt files cannot be used as a reference.
Which file formats can I use as my content?
PDF (scans included), Word, Excel, CSV, PowerPoint, .odt, .odp, .rtf, .html, .json, pictures and plain text files. You can attach several files at once, or type and paste your content instead.
Does Workstyle work with scanned documents or screenshots?
Yes. A scanned PDF page or an image can be a reference, and scanned files can also be used as content. For scanned references, sizes are close but not exact, and the font is always Arial.
Will it copy the logos and pictures from my reference?
No. Each logo or picture spot becomes an upload spot where you add your own. If you have a logo in your Brand Kit, Workstyle places it automatically.
What happens if my content is longer than the reference?
It continues on extra pages that repeat the header, footer and logo. Tables repeat their header row, and headings are never left alone at the bottom of a page. One reference page can extend to as many as 40 pages.
Can I edit the document after Workstyle builds it?
Yes. Every part is a real text box, table or image spot in the SARVARC editor, so you can change words, move parts, adjust colours and export in your preferred format.
Is there a limit on how many times I can use Workstyle?
Currently there is a limit of 5 Workstyle builds per person per day, and only a finished build counts. Text is capped at 24,000 characters per build and files can be up to 25 MB.
Do I need design skills to use it?
No. You upload two things, press Build and edit the result like any other document in the workspace.
